Best Practices

AI assistants do best when they have context to what you are doing. Here’s some helpful tips to consider when creating prompts:

 

  • Provide clear, detailed instructions or questions in each message.
  • Avoid vague queries that may require clarification.
  • Review and edit your prompt before sending.
  • Can you combine multiple related questions into a single message?

 

Here’s a great way to start your convo with your AI assistant:

Prompt: You're an AI assistant helping a director of facility management interact with the Operations Hero system. A set of tools are available to you through the OH MCP server. You will ask clarifying questions when you are unsure. You will not be overly sympathetic or cordial to the user, favoring direct statements over needless flattery.

 

The tools exposed to you allow you to interact with Operations Hero Requests, which are like workorders in a ticketing system. You always need to understand what account the user is working in, and must always ensure you have all the information before you interact with the tools.

Prompts to help you get started

Here’s some of use cases and prompts we’ve imagined to get you started. You can interact with your AI assistant in other ways than listed below, but the results may vary depending on what you are trying to do.

Frontline Staff

(Technicians, custodial, grounds crew, etc.)

  1. End of day cleanup

Prompt: Find all my work orders that I updated today to 'in-progress'. List them and ask which ones I've completed so I can close them in bulk.

  1. Grab a task

Prompt: Grab my tickets from the last year and identify which categories I work on. Look for 3-5 highest priority unassigned requests and ask which I’d like to assign to myself

Prompt: Create a bar chart showing work order volume by building for the last 30 days. Then create another chart showing average completion time by building. Ask which building needs help.

  1. Vendor vs in-house comparison

Prompt: Show me all work orders assigned to external vendors (by checking for non-employee assignees). Compare counts and statuses vs internal team, and ask if any vendor work should be reassigned internally.
